Overview

Within our comprehensive CRM system, you can effortlessly send emails and SMS messages to your clients, ensuring you remain connected and engaged at all times. Whether you’re crafting personalized messages that resonate with individual clients, sending appointment reminders, or launching bulk promotions to a wide audience, the Mailing & SMS features enhance your communication efforts. This powerful tool streamlines your outreach, allowing you to manage all of your client interactions seamlessly in one centralized platform.


Emailing Your Clients

The CRM offers two distinct options for communicating with your clients via email: you can choose to send personalized emails to individual clients, or you can opt to distribute bulk emails to all clients in your database with just a few clicks.

Default Mailbox

By default, our system utilizes an automatic email address, sys@dgred.com, for managing all email communications and tracking conversations.

Custom Domain

if you prefer a more personalized touch or want to maintain brand consistency, you have the option to connect your own domain by integrating with CloudMailin, which allows you to send emails from an address such as info@yourdomain.com as well as receive emails in the dedicated Emails module in the client's card.

The Emails module will then act as a combined inbox for sending and receiving emails directly within the CRM:

This integration not only enhances your professional image but also improves deliverability rates and helps maintain your email marketing reputation.


Emailing Single Client

To send an email to a specific client without CloudMail integration, navigate to their client card, find the Send Email icon, and click it in the main navigation of the card:

You will now see the email creation view. Start by specifying the Sender’s Name (for example, your company name). Next, set the reply-to email address where your client can respond. You can also optionally add an additional email address to receive a copy of the message.

If you have already created templates, you can select one at this stage (we will explain how to create templates later in this article). Finally, provide a subject for your email and use the editor to craft your message.

Files

If you would like, you have the option to attach files available from the Files module on the client’s card to your email message or attach new files:

Save As Template

If you’d like, you can also save this email as a new template for your future messages and set it's name:

Sign Out From Newsletter

Lastly, if your message is a part of your newsletter campaign, you can include a button in the email that allows your recipient to Sign out of the newsletter. When your client clicks the button, a notification about signing out from your newsletter will appear in the Notes module.


Bulk Emailing

From the dashboard of your client management system, you can easily use the bulk email feature to communicate effectively with your clients.

To get started, locate and click on the email sending icon, typically represented by an envelope icon. This action will open the email creation window, where you can draft your message and define your recipients:

First, specify your target audience for the message. At this point, you can select one of the two options:

  • All option, and further refine your audience in the Advanced Settings section.

  • Category option to pick from one of the predefined categories on your CRM list. If you select a category, the email will only be sent to clients assigned to that specific category. Similarly to the All option, you can further narrow your recipient's in the Advanced section.

If you would like, you have the option to attach additional files to enhance and enrich your email correspondence with your clients:

Advanced Settings

When you enable the Advanced Settings feature, you'll gain access to a range of customizable options that enhance your email communication.

  • Reply to Here, you can designate a specific email address where responses from your clients will be routed. This ensures that you don't miss any important feedback or inquiries. Note that this option is only available when you integrate CRM with CloudMailin.

Automatic Client Matching & Record Updates

If a client sends a message to this inbox, one of two things will happen: they will either be added to the client database as a new client, or the email will be attached to an existing client record if a matching email address is found.

  • Send From & To This option is particularly useful if you wish to send messages to a targeted group of clients instead of distributing them to your entire mailing list. In the Send From field, you can specify the starting position on your list from which the message should be sent, while in the "Send To" field, you will define the ending position. For instance, if you input "5 - 10," the message will be delivered to clients with positions 5, 6, 7, 8, 9, and 10 on your list, allowing for a focused outreach.

Example

Let's say we would like to send an email announcing the introduction of an exciting new feature to most clients on our list counting 24 customers, regardless of their assigned category. However, we will exclude the last two people on the list from the mailing, as they do not belong to our target audience.

In such case, our settings will look as follows:


Sending SMS To Clients

From your Customer Relationship Management (CRM) system, you have the capability to send SMS messages to your clients, either on an individual basis or in bulk. This feature is particularly beneficial for various communication needs, such as sending appointment reminders, providing order updates, announcing limited-time promotions, or delivering personalized follow-ups that enhance customer engagement.

To take advantage of this SMS functionality, you will first need to integrate your CRM with Twilio SMS, a reliable and widely-used platform for sending text messages. Once set up, you can easily manage your SMS campaigns and track their effectiveness, allowing you to optimize your communication strategies with clients.

SMS to Individual Client

Let’s start with sending an SMS to a single client. To do this, go to the client’s card and locate the phone icon. Click on it to open the SMS creation window:

Save as template

If you want, you can save this message as a template and set a template name, making it easy to reuse for future messages.

Example

Let’s create a sample SMS message to remind your client about an upcoming appointment. This message is fairly universal, so we will save it as a template named 'Appointment Reminder' for future use.


Bulk SMS

From the dashboard of your client management system, you can easily use the bulk SMS message feature to communicate with your clients.

To get started, locate and click on the SMS sending icon, represented by an mobile phone icon. This action will open the email creation window, where you can draft your SMS and define your recipients:

First, specify your target audience for the SMS. You can select one of the two options: All and Category.

  • All option, and further refine your SMS audience in the Advanced Settings section.

  • Category option to pick from one of the predefined categories on your CRM list. If you select a category, the SMS will only be sent to clients assigned to that specific category. Similarly to the All option, you can further narrow your SMS recipient's in the Advanced section.
